Guide – For Users

Create Your Account (Client)

You have paid for your subscription on the website

  • You receive an email from Asfaly with your login details
  • Click on the login link
  • Use the email and temporary password received

If you have been invited as a beneficiary:

  • You receive an email: “You have been designated as a beneficiary”
  • Click on the confirmation link
  • Create your password (minimum 12 characters)
  • Activate 2FA with Google Authenticator (mandatory) (see security page for more info)

Explanations:
Account creation occurs either after purchasing a subscription on the website (client case) or after being invited as a beneficiary. In both cases, you must set a secure password and activate two-factor authentication (2FA) with Google Authenticator.

Access: https://app.asfaly.com/public/login

  • Enter your email
  • Enter your password
  • If 2FA is enabled, enter the 6-digit code
  • You are on your dashboard

Explanations:
Logging in requires your email, your password, and if 2FA is enabled, the temporary code provided by your authentication app. This step protects your account against unauthorized access.

Dashboard

Access: After logging in, homepage (dashboard)
This is your homepage. You will see:

  • Number of entries (example: your Facebook, Gmail account…) in your vault
  • Number of beneficiaries
  • Quick actions:
    • Add an entry (example: your Facebook, Gmail account…)
    • Add a beneficiary

Explanations:
The dashboard gives you an overview of your vault: number of passwords saved, number of designated beneficiaries, and transmission status. Quick actions allow you to quickly add a new entry or beneficiary.

Manage Your Vault

Access: Vault menu → Add an entry / List of entries (example: your Facebook, Gmail account…)

Add your password:

  • Click on Vault
  • Click on Add an entry (example: your Facebook, Gmail account…)
  • Fill in the fields:
    • Title (e.g., Facebook)
    • URL (e.g., https://facebook.com)
    • Identifier (e.g., email@example.com)
    • Password
    • Category (optional)
    • Notes or comments (optional)
  • Click Save

Edit or delete:

  • In the list, click Edit or Delete
  • Confirm the action

Explanations:
The vault is where you store all your passwords. Each entry corresponds to a site or service (social network, email, phone, etc.). You can edit or delete an entry at any time.

Manage Your Beneficiaries

Access: Beneficiaries menu → Add a beneficiary / List of beneficiaries

Add a beneficiary:

  • Click on Beneficiaries
  • Click on Add a beneficiary
  • Fill in the information:
    • First and Last Name
    • Email
    • Relationship (spouse, child, friend…)
    • Personalized message (optional)
  • Click Send invitation

What happens?

  • The beneficiary receives an invitation email
  • They must confirm to be valid
  • Their status changes from “Pending” to “Confirmed”

View beneficiaries:

  • Pending: the beneficiary has not yet confirmed
  • Confirmed: the beneficiary has accepted
  • Refused: the beneficiary has declined

Explanations:
Beneficiaries are the people who will be able to access your data after your death (or according to the transmission rules you have defined). You can add several and track their status (pending, confirmed, refused).

Configure Transmission

Access: Transmission menu
Why? To define how your data will be transmitted after your death.

How to do it?

  • Click on Transmission
  • Configure:
    • Inactivity period: after how many months without login
    • Manual validation: if a legal document is required
    • Notification emails: who will be notified
  • Click Save

Explanations:
Transmission allows you to organize what will happen after your death. You can choose an inactivity period (for example 6 or 12 months without login), decide if an official document (death certificate) is necessary, and choose who will be informed.

Security – 2FA

Access: Settings menu → 2FA Configuration
Why? To protect your account in addition to the password.

How to activate it?

  • Go to Settings → 2FA Configuration
  • Scan the QR code with Google Authenticator
  • Enter the 6-digit code
  • Validate
  • Recovery codes: Keep them in a safe place. They allow you to access your account if you lose your phone.

Explanations:
2FA (two-factor authentication) adds a second proof of identity in addition to your password. Even if someone knows your password, they cannot log in without this second factor. Recovery codes should be kept safe; they are used in case of phone loss.

GDPR – My Personal Data

Access: Settings menu → My Personal Data (GDPR)

Export my data:

  • Go to Settings → My Personal Data (GDPR)
  • Click Request export
  • Receive an email with the download link
  • The link is valid for 6 months

Delete my account:

  • Go to Settings → My Personal Data (GDPR)
  • Scroll down to the “Delete my account” section
  • Enter your password
  • Click Request deletion
  • An admin validates your request
  • You receive a confirmation email
  • Warning: This action is irreversible. All your data will be deleted.

Explanations:
In accordance with GDPR, you can export all your personal data at any time, or request deletion of your account. Deletion is definitive and results in the loss of all your passwords and settings.

Beneficiary – Possible Actions

Access: Beneficiary account → Send a document menu

If you are a beneficiary:

  • You receive an invitation by email
  • You create your account (email + password + 2FA)
  • You are in “Pending transmission” status
  • You do not have access to the client’s vault

Trigger a manual transmission:

  • Log in to your account
  • In the menu, click Send a document
  • Upload a legal document (PDF, JPG, PNG)
  • Add a message (optional)
  • Click Submit request
  • An admin examines your request

Access data (after validation):

  • You receive an email: “The transmission procedure is validated”
  • You log in to your account
  • You see all the client’s data
  • Access is valid for 30 days

Explanations:
As a beneficiary, you cannot directly access the client’s vault. You must trigger a transmission procedure by sending an official document (death certificate). After validation by an administrator, you obtain temporary access (30 days) to all the client’s data.
